PA to the Executives
An
integral part of the ETO office, this role supports the General Director and
Artistic Associate, Education. This position
is ideal for a strongly motivated and organised individual with a passion for
the arts. The ideal candidate will be
looking to build on existing administration experience in a thriving mid-size
organisation with knowledge of the arts and education sectors.

Job Description
A busy, supportive position in a touring opera company with
exposure to most areas of the company’s practice, requiring:
diplomacy, discretion and an
excellent telephone manner
good writing, IT and numeracy
skills
a supportive, enthusiastic
character
strong organisational skills
an interest in the performing
arts
Occasionally the job will involve unsocial hours, for which
no overtime is payable. There may be some, exceptional travel to touring
performances.
Duties
To provide administrative support to the General Director
and the Artistic Associate, Education
General
Administration
To deal with telephone enquiries
To maintain administrative and artistic filing system
To order and maintain office supplies, equipment and
contracts
To attend to the office lease agreements
To co-ordinate personnel files, holiday agreements, and
correspondence with unions
To attend Board meetings, prepare minutes and co-ordinate
papers
To deal with music publishers, monitor preparation and
allocation of scores, and administer hire of scores to other companies
To act as point of liaison to orchestra manager regarding
music, practice copies and orchestra schedule
To assist the Artistic Administrator with auditions,
contracts and schedules
To co-ordinate first night invites
To act as Fire Marshall and Health and Safety Officer
Education Administration
To work with the Associate Artist (Ed.) on schedules,
contracts, permits and planning
To liaise directly with headteachers, teachers and schools
To assemble practical information for artists in support of
projects
To assemble material from schools and artists for the
purpose of evaluation
To assist in the writing and compilation of teachers packs
Internships
ETO is ideally
placed to offer internships for those looking to gain experience of
working in the arts. The 11-person strong team in the ETO Office
cover the core areas of administration, development, education, finance, marketing, planning,
press and production. Over the last few years ETO has undertaken
several internships. Each one has been specifically tailored to
suit the skills, intersts and aspirations of the specific intern.
